Travellers heading to Japan will soon have to book appointments in advance before submitting their visa applications at several VFS Global centres in South India. With Japan emerging as a popular choice for both cultural and seasonal tourism, these new rules are expected to streamline operations during peak travel months. According to the latest update shared by VFS Global on February 21, the mandatory appointment system will come into effect from March 2, 2026.

Mandatory Visa Appointment At Four Centres

VFS Global has announced that appointment booking will be compulsory for all categories of Japan visa submissions at the following Visa Application Centres:

ChennaiCochinHyderabadPuducherry

Applicants will see available appointment dates only after entering their required details online.

The appointment requirement also applies to those submitting applications at the VFS Japan Visa Application Centre in Bengaluru.

Walk-Ins Still Allowed At Other Centres

For all other VFS Japan visa centres across India, applicants do not need an appointment. They may simply attend the Visa Application Centre to begin their application.

Travellers should first confirm the correct visa category based on the purpose of travel, check eligibility, and review the documents and fees required. Documents not in English may need translation before submission.

2. Begin Your Application

Download the visa application form, fill it out completely, print it, and prepare all supporting documents to take along to the Visa Application Centre.

3. Book An Appointment

For centres where the new rule applies, you must book an appointment after filling out the form. Each family or group member needs an individual appointment. A confirmation email and appointment letter will be sent once booked.

4. Pay Your Fees

Visa fees are paid at the Visa Application Centre during the appointment. Payment options include credit/debit card, cash and UPI at centres in Mumbai, Pune, Ahmedabad and Goa.

5. Visit The Visa Application Centre

Attend your scheduled appointment and submit your completed application and documents.

6. Track Your Application

Applicants will receive an email once the decision has been returned to the centre. You can also track the status online using the reference number on your receipt along with your date of birth.

7. Collect Your Passport

Once the visa decision is made, you may collect your passport in person or request a courier return for an additional fee.
